At ctrl QS, we're looking for someone who can turn an office into an experience; someone who notices the small things before anyone else does, solves problems before they become problems, and creates an environment where people can do their best work.

As our Workplace Experience Manager, you'll be the face of our Berlin office, the go-to person for our team, and the driving force behind a space that feels welcoming, connected, and effortlessly functional. Acting as a bridge-builder across teams, locations, and leadership, translating company priorities into practical workplace execution.

From coming up with and executing team-wide initiatives and organizing large-scale company events to keeping office operations running smoothly and being the first point of contact for visitors, you'll play a key role in shaping how people experience ctrl QS every single day.

• Be the face of our office. Create a warm, welcoming first impression for team members, clients, partners, visitors, and vendors. You’ll be the approachable go-to person for workplace questions, requests, mail, and whatever the day brings.
• Create a great team experience. Support team members with their everyday workplace need and organize team days, events, and in-person moments that bring people together and strengthen our culture.
• Keep improving how we work. Listen to what the team needs, spot friction before it becomes a problem, and turn feedback into practical improvements, across the office and our wider hybrid workplace experience.
• Keep our space working beautifully. Make sure the office is organized, well-stocked, and ready to use, from meeting rooms and shared spaces to equipment and workplace technology. When something doesn’t work, you’ll solve it or coordinate with the right people to get it fixed.
• Keep operations moving. Manage facilities, suppliers, and service providers, while keeping an eye on contracts, budgets, costs, and administrative processes.
• Get people where they need to be. Coordinate business travel for team members and leadership, including bookings, logistics, guidelines, and follow-ups.
• Keep us safe and compliant. Support occupational health & safety, workplace standards, and relevant GDPR and data protection requirements in our day-to-day operations.
• Make joining and leaving seamless. Coordinate onboarding and offboarding from a workplace perspective, including equipment, access, setup, logistics, and everything needed for a smooth first or last day.

• People feel at ease and know where to go: team members have a friendly, approachable go-to person for workplace questions, while visitors, vendors, clients, and partners are welcomed, directed, and supported with confidence, reinforcing the brand of ctrl QS.
• The office simply works: spaces are welcoming, organized, and ready to use; people can navigate the workplace easily, make effective use of meeting rooms and tools, and issues are solved quickly and proactively.
• Operations run seamlessly behind the scenes: onboarding, travel, vendors, facilities, and everyday workplace processes are well coordinated, with minimal friction for the wider team.
• The operational foundations are in safe hands: budgets, contracts, approvals, compliance, and workplace standards are managed reliably, transparently, and without surprises.
• The workplace gets better, not just maintained: feedback and day-to-day observations are turned into practical improvements, and shared office experiences naturally enable collaboration, culture and performance.

• 2+ years of experience in Office or Workplace Management, or a similar hands-on operational role
• Experience owning day-to-day office operations, including vendors, facilities, contracts, and budgets
• Excellent organization and the ability to keep multiple moving parts on track
• A proactive, practical mindset – you spot what needs to be done and make it happen
• Strong communication and people skills, with confidence working across teams and seniority levels
• Comfortable communicating in German and English (B2+ preferred)
• You are reliable, detail-oriented, and trusted with sensitive information
• You genuinely enjoy creating a workplace where people feel welcome, connected, and supported
• You thrive in a fast-moving environment and are comfortable switching between planning, problem-solving, and getting things done yourself
• You enjoy being present and actively shaping the office experience, this role is fully on-site in Berlin, 5 days per week
